Who this covers

This policy applies to Luxary Group Co. and to Luxary Group Arts, its nonprofit arm. Both operate this website and share one secure platform, so a request you send reaches the responsible department without being copied between systems.

What we collect

When you submit a form we collect the details you enter: your name, email address, and optionally your phone number, organization and subject, along with your message. We also record which page the request came from and, if you are signed in, the account it belongs to.

If you hold an account — a community membership, a website admin login or staff access — we store your profile details and the roles and permissions attached to your account. We keep metadata about sign-in attempts, such as the time and outcome, to protect accounts against misuse. We never store your password; authentication is handled by our authentication provider.

How we use it

We use your information to reply to you, to prepare quotes and bookings, to run programs you enrol in, to administer accounts and to keep internal records of our work. Where you give to Luxary Group Arts or take part in a program, we may use your information for the reporting we owe funders and partners — reported in aggregate unless you have agreed otherwise.

We do not sell your information, and we do not use it for advertising by third parties.

Who can see it

Access is restricted to the staff whose role requires it. Our platform enforces this at the database level, so a member of the team can only see the records their permissions allow. Service providers who process data on our behalf — such as our hosting and authentication providers — are bound to use it only for that purpose.

We disclose information outside the organization only where we are legally required to, or where you have asked us to.

How long we keep it

Enquiries and booking records are kept for as long as we need them for our business and accounting obligations. Program records are kept for the period required by our funders and applicable law. You may ask us to delete information we no longer need to retain.

Your choices

You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. You can unsubscribe from any update we send at any time. Send those requests through the contact page and we will respond.

Cookies and analytics

This site uses only the storage necessary to keep you signed in and to remember basic preferences. If we add analytics or embedded media in future, this page will be updated to say what they collect.

Children and programs

Where a young person takes part in a Luxary Group Arts program, we collect their details from a parent or guardian and use them only to run the program safely. Photography and recording at programs and showcases are covered by a separate consent taken at enrolment.

Changes

We update this policy when our practices change. The current version always appears on this page.
